How we keep our spaces safe, welcoming, and therapeutic. Yes, there is a printable version.

If you are coming to our office

  • Please note that our front door is always locked. You must message your therapist or knock on the door to enter the office.

  • Children must be accompanied by a parent or guardian, even when they come in for an individual session.

  • If you are accompanying a minor, you must bring recent evidence of custody to the initial session to show that you can authorize medical services for the minor.

  • Please do not bring any food, beverages, alcohol, illegal substances, or firearms on our premises.

  • Smoking is not allowed anywhere on our premises, including the parking lot.

  • Any aggression or disrespect toward any client or staff member, be it verbal, physical, or in written communication, may lead to immediate discharge from services.

  • We do not allow pets in our offices or waiting area, including emotional support animals (ESA). Anyone in violation of this policy will be asked to leave, and that will count as a missed appointment.

  • Service animals, as defined by the Americans with Disabilities Act, are always welcome.

Cancellation policy

Scheduled appointment times are reserved especially for you. We require 24 hours notice to cancel an appointment. Our missed appointment and late cancellation fee is $100.

If you cannot come to an appointment due to inclement weather, and the schools in your area are closed, try to change that appointment to telehealth. If telehealth is also not possible, you will not be charged a no-show fee.

We understand emergencies happen: your first no-show for the year is at the discounted rate of $50.

Please note: some of our therapists’ policies may differ. Check with your therapist in your first session.

Discharge policy

If your schedule includes periods of time longer than 30 days when you are unable to schedule an appointment, please let your therapist know.

If you do not have a scheduled appointment, your therapist will make 2 attempts to reach you. If we do not receive a response to 2 attempts to reach you within 30 days, your case will be closed.

If you are an EAP client and miss 2 appointments without notifying your therapist, they will close your case and refer you back to the EAP so they can give you a referral for another provider.

Health and safety

If you are experiencing any symptoms such as fever, coughing, exhaustion, or shortness of breath, please call your doctor and do not come to the office until your doctor advises that you do not have contagious symptoms.

If you have any concern that you may have a contagious illness, please either change your in-person appointment to telehealth, or reschedule.

Insurance and Finances

Coverage

  • We accept private pay.

  • We work with all major insurances

  • We accept EAPs, and FSA/HSA

  • We do not accept Medicare, Medicaid, or Tricare insurance at this time.

Fees

If using insurance, your benefits are determined by your insurance plan. Please, contact your insurance company to verify your benefits. With insurance, your copay could be as low as $0.

Some of our therapists offer limited sliding scale slots starting at $50 per session for individual sessions, and $90 per session for couples. These are available on first-come-first-served basis and subject to an application process. Proof of income is required.

Intake fees are $140 for individual and $160 for a couple or family counseling intake.

Good Faith Estimate

Patients who don’t have insurance or who are not using insurance have the right to receive a Good Faith Estimate of the expected charges for counseling and psychotherapy services.

You have the right to receive a Good Faith Estimate for the total expected cost of any non-emergency healthcare services, including counseling/psychotherapy services.

You can ask your healthcare provider for a Good Faith Estimate before you schedule a service.

If you receive a bill that is at least $400 more than your Good Faith Estimate, you can dispute the bill. Make sure to save a copy or picture of your Good Faith Estimate.

Payments

Unless other arrangements have been made in advance, your payment or copay/coinsurance is due at the time of the session – major credit cards, cash, checks, and money orders are accepted. There is a $35 fee for checks returned for insufficient funds.

Insurance Claims

We accept most major insurances for both behavioral/mental health services and Employee Assistance Programs (EAP). Please remember that not all therapists accept all insurances, and that fees vary by therapist and type of session. Please remember it is the responsibility of the client to verify their benefits by contacting their insurance company prior to obtaining services.

For your convenience, we will file with up to two insurance companies on your behalf.

Sliding Scale Slots

Some of our therapists offer a limited number of sliding scale slots. These are based on income and are available on first-come-first-served basis. Sliding scale requests are only reviewed when you submit a completed application through the client portal, accompanied by current proof of income. Please contact our administrative personnel for information on acceptable forms of proof of income. If approved, your sliding scale fee will start on the date when your completed the application, and proof of income was submitted. Your eligibility will be reviewed every 6 months.

Unfortunately, we cannot offer sliding scale fees for intake appointments.

Overdue accounts

Accounts more than 60 days overdue will be referred to a collection agency. In such cases, the collection agency will have personal identifiable information for you, such as name, address, phone number, date of birth, Social Security Number, dates of services, and amounts due. They will not have access to your clinical records.
